Foreman Daily Report: A Simple Format Foremen Will Actually Fill Out
A foreman daily report is the crew-level record of one day's work: who was on the crew and for how many hours, what they installed and where, what equipment and material they used, what slowed them down, and what happened on safety. It should take about five minutes, use the same format every day, and go to both the foreman's office and the general contractor superintendent the same day.
Why foreman reports matter
The foreman's report is where payroll hours, production tracking, change order backup and general contractor compliance all start. When it is late or vague, the office guesses at hours, PMs cannot track production against the estimate, and the general contractor has nothing to roll up.
From the general contractor side, see how to get subcontractors to submit daily reports.
The five-minute foreman format
Keep it to seven lines. If a line has nothing, write "none."
- Crew: headcount by classification and total hours
- Work: what, where, how much
- Equipment: what was used, any downtime
- Material: received, short, or damaged
- Blockers: what stopped or slowed you, and what you need
- Safety: pre-task plan done, any incident or near miss
- Photos: two to five, tied to the work and any problems
Sample foreman daily report
Northline Electric, Foreman D. Reyes, Harbor View MOB, Wednesday Crew: 1 foreman, 4 journeymen, 1 apprentice. 6 workers, 48 hrs. Work: Level 2 rough-in rooms 210 to 218, 520 LF 3/4 in. EMT, 30 boxes. Pulled branch circuits rooms 201 to 205. Equipment: Scissor lift #2, working. Bender, working. Material: Short 200 LF 3/4 in. EMT, supplier delivering tomorrow AM. Blockers: Room 214 ceiling has duct in our conduit path. Need general contractor coordination before we can finish 214. Safety: PTP done 7:05 AM, 6 signed. Lift inspected, tie-off checked. No incidents. Photos: 4 (rough-in 210 to 213, duct conflict at 214).
What separates a useful foreman report
Location language the general contractor understands
Use room numbers, levels and gridlines from the drawings. "North side" means different things to different people.
Quantities in your estimate units
If your estimate is in LF of conduit, report LF of conduit. This lets your PM compare installed quantities to budget hours without a separate production log.
Blockers with an ask
"Duct in the way" is a complaint. "Room 214 duct in conduit path, need coordination by Friday to hold schedule" is a request the super can act on. It also protects your company if the delay becomes a dispute.
Same-day submission
A report sent at 3:30 PM from the tailgate is more accurate than one typed Sunday night from memory. If your general contractor's spec says next-morning deadline, aim for same day anyway.
Foreman daily report checklist
- Date, project and company on the report
- Headcount and hours by classification
- Work performed with location and quantity
- Equipment status
- Material issues
- Delays and blockers with what you need
- Pre-task plan noted
- Incidents or near misses, or "none"
- Photos attached
- Sent to office and general contractor
How foreman reports roll up
On a commercial job, each sub foreman's report feeds the general contractor superintendent's daily log. The super reconciles headcounts, notes conflicts, and builds the project daily report. When five subs send reports in five different formats (paper, email, PDF, photos of a notebook), that rollup takes an hour. When they come in the same format, it takes minutes.
For trade-specific examples, see daily report examples by trade.
Foreman reports and T&M work
When the crew does extra work, the foreman's report is the first place it should show up. Split base and extra hours, note who directed the extra work, and reference the T&M tag number. A tag without a matching daily report is easy to reject. See T&M tag documentation.
Tips from the field
- Write the report on site, before you drive home
- Take photos as you go, not at the end of the day
- Use the same room and gridline names every day
- If nothing happened in a section, write "none"
- Keep a copy for your own company, even if you submit to the general contractor
Let foremen text it in
Most foremen will not download another app or log into another portal, but they will answer a text. Cascade is SMS-first field intelligence for general contractors and subcontractors: superintendents and foremen text in their day, along with their subs, and Cascade builds the daily report. Automatic reminders go out at the time you choose, so nobody has to chase. Product scope: Daily reports, manpower and hours by sub, photos, toolbox talks, pre-task plans (JHA), safety incidents and corrective actions, project + schedule planning, automatic sub reminders, analytics and plain-English answers.
Subcontractor access is free, and general contractors see 95%+ sub daily report compliance. Read more about SMS daily reports for subcontractors. Frequently asked questions
What should a foreman daily report include?
Crew names or headcount by classification, hours, work performed with location and quantity, equipment, material issues, delays or blockers, safety items such as the pre-task plan and any incident, and a few photos.
How long should a foreman daily report take?
About five minutes. If it takes longer, the form is asking for too much or the foreman is rewriting information that could be captured once, such as crew names.
Who receives the foreman daily report?
The foreman's own project manager or office, and, on most commercial jobs, the general contractor superintendent. Many subcontracts require it by a set time each day or the next morning.
Can a foreman submit a daily report by text?
Yes, if the general contractor or sub uses a system that turns texts into a structured report. Texting is often the fastest way to get consistent reports from foremen who do not want another app.
